All the Toshiba copier/printers on campus can be used for scanning documents by staff and students

To scan a document, swipe your ID card and enter your PIN when prompted on the touch screen

Now select the SCAN button on the keypad

Then press the Email button on the touch screen (the college only currently supports scan to email - all other options will be greyed out)

The next screen that is displayed will automatically have your email address in the To box, so you just need to decided what format you want the scanned document to be - PDF, JPG or TIF 

  • [PDF] — Press this button to store your scan as a PDF file.
  • [TIFF] — Press this button to store your scan as a TIFF file.
  • [XPS] — Press this button to store your scan as an XPS file.
  • [SLIM PDF] — Press this button to store your scan as a slim PDF file. This option is suitable when minimizing the file size is more important than the image quality. This option is available only when [FULL COLOR] or [GRAY SCALE] is selected for the color mode setting.
  • [JPEG] — Press this button to store your scan as a JPEG file. This option is available only when [FULL COLOR] or [GRAY SCALE] is selected for the color mode setting.

TIPS

XPS files are supported by Windows Vista, Windows 7 or Windows Server 2008 SP1; they can also be used on a computer running Windows XP SP2 or Windows Server 2003 SP1 or later versions with. NET Framework 3.0 installed.

If you select PDF and your original has multiple pages, you also have the choice of single page PDF files or a single multipage PDF file

  • [MULTI] — Press this button to store your scan as a multiple page file. When you scan several pages, the
    equipment stores all the pages as a single file.
  • [SINGLE] — Press this button to store your scan as a single file for each page. When you scan several pages, the equipment stores each page as a separate file.

Then click on the OK button on the touch screen to take you back

You can now check/alter the scan settings by touching the 'Scan Settings' button on the touch screen

This will give you options on colour mode (we recommend B&W or greyscale unless you need full colour - more about this later), the resolution (we recommend 200 dpi and whether the original is single or double sided and its rotation

The press OK on the touch screen which will take you back and finally touch the scan button to start scanning

You will get confirmation that your scanning has started and completed and your scanned document/file(s) will be automatically sent to your college email inbox

If you did not use the automatic document feeder you will need to press the 'Job Finish' button to send the email

 

The college email size limit is 4MB per email so your scanned document/file must not exceed this limit per scan - if they exceed this size you will not receive anything in your inbox

By using full colour and increasing the dpi value above 200 will drastically increase the file size of the scan attachment - use black and white if possible

If you need to scan in full colour or need to scan a large multipage document, we recommend you break it down in smaller scan jobs and then reassemble on your computer
